Real estate follow-up scripts that book more site visits
On this page
Good real estate follow-up scripts give your team the exact words for each stage: the first call, the WhatsApp after an unanswered call, the visit confirmation, the post-visit check-in and the message that revives a lead who went quiet. The scripts below are written for Indian developers and brokers working Meta, 99acres and MagicBricks leads. Use them as a starting point, change the project details, and keep the timing tight, because a great script sent two days late still loses to an average one sent in two minutes.
Why follow-up scripts matter in Indian real estate
Most buyers enquire with several projects in one evening. The team that calls first and follows up consistently usually gets the site visit, and the site visit is where the sale starts.
Scripts help in three ways:
- Consistency. Every lead hears the same clear pitch and the same qualifying questions, whether a senior or a new telecaller makes the call.
- Speed. Nobody stops to think about what to write; they paste, personalise one line and send.
- Measurement. When everyone uses the same script, you can see which step loses leads and fix that step.
Scripts are not a replacement for listening. Keep the structure, but let the conversation breathe.
The follow-up timeline at a glance
| When | Channel | Goal |
|---|---|---|
| Within minutes of the enquiry | Call | Qualify and offer a site visit |
| Right after an unanswered call | Introduce yourself and give a reason to reply | |
| Right after a good call | Send brochure, price sheet and location pin | |
| Day before and morning of the visit | Confirm and reduce no-shows | |
| Same evening after the visit | WhatsApp, then call next day | Capture feedback and move to next step |
| Day 3, day 7, day 14 of silence | WhatsApp and call | Re-engage with something new |
If you want the reasoning behind the first row, our guide on speed-to-lead in Indian real estate explains why the first minutes decide the visit.
Script 1: The first call
Call as soon as the lead arrives. Introduce yourself, name the project they enquired about and ask permission to talk.
"Hi [Name], this is [Your Name] from [Developer/Brokerage]. You just enquired about [Project Name] in [Sarjapur Road / Hinjewadi]. Is this a good time for two minutes?"
If yes, move through the qualifying questions in a natural order:
"Are you looking to live there yourself or as an investment?"
"Which configuration are you considering, 2 BHK or 3 BHK?"
"What budget range are you comfortable with, roughly?"
"When are you planning to buy: in the next three months, this year, or just exploring?"
"Are you enquiring for yourself, or on behalf of a client?"
The last question is the broker check. Asked neutrally, it lets brokers identify themselves without anyone feeling accused, and you can route them to your channel partner process. Our straight answer on filtering brokers covers this in more detail.
Then close for the visit with two specific options:
"The best way to judge the layout and the location is to see it. I can block a slot for you this Saturday at 11 am or Sunday at 4 pm. Which works better?"
Offering two slots gets a decision. Asking "When are you free?" usually gets "I will let you know."
Script 2: WhatsApp after an unanswered call
Many leads will not pick up the first time, especially during office hours. Send this immediately after the missed call:
"Hi [Name], this is [Your Name] from [Project Name]. I just tried calling about your enquiry for a [2/3 BHK] in [Location]. I can share the price sheet and floor plans here on WhatsApp. Would you like them, or is there a better time to call?"
This gives the buyer an easy, low-effort reply. Call again later the same day, and once more the next day at a different time.
A note on WhatsApp rules: under Meta's WhatsApp Business Platform pricing rules, you can send free-form messages only within the 24-hour customer service window that opens when the customer messages you. Outside that window, business messages must use a template approved by Meta, so write your follow-up templates in advance and get them approved.
Script 3: WhatsApp after a good first call
Send this while the call is still fresh:
"Thanks for your time, [Name]. As discussed, here are the details for [Project Name]:
- Brochure: [link]
- Price sheet for [3 BHK]: [link]
- Location: [Google Maps pin]
Your site visit is booked for [Saturday, 11 am]. I will meet you at the sales lounge. If you have any questions before then, message me here."
Put everything in one message so the buyer does not have to scroll back through the chat.
Script 4: Visit confirmation and reminder
No-shows are expensive, so confirm twice.
Day before:
"Hi [Name], looking forward to seeing you tomorrow at [11 am] at [Project Name]. Will you be coming with family? I will keep the [3 BHK] sample flat ready for you."
Morning of the visit:
"Good morning [Name]. See you at [11 am] today. Here is the location pin again: [link]. Parking is available at the sales lounge entrance."
Asking whether family is coming does two things: it tells you who the decision-makers are, and it makes the visit feel like a plan.
Script 5: After a site visit
Send a short message the same evening:
"Thank you for visiting [Project Name] today, [Name]. What did you and your family think of the [3 BHK] layout and the [east-facing] option we saw?"
Call the next day to discuss next steps:
"Hi [Name], I wanted to check whether you had any questions after yesterday's visit. Was there anything about the price, the payment plan or the possession timeline you wanted to go over?"
Name the specific thing they cared about during the visit, such as the school nearby, the kitchen size or the metro distance. A follow-up that remembers details does more than any discount.
Script 6: The site visit no-show
Do not scold. Make rescheduling easy:
"Hi [Name], we missed you today. No problem at all, plans change. Would this Sunday at 4 pm or next Saturday at 11 am work better?"
If there is no reply in two days, follow with one call. After that, move them into your re-engagement sequence.
Script 7: Handling common objections
"The price is too high."
"I understand. Many buyers felt the same until they compared the carpet area and the amenities. Could I show you the payment plan? It spreads the amount until possession, which makes it easier for many families."
"I am still comparing projects."
"That makes sense. Which other projects are you looking at? I can tell you honestly how ours compares on location, possession date and price per square foot."
"Send me details, I will look later."
"Sure, I will send them now. So that I send the right ones, are you looking at 2 BHK or 3 BHK, and what budget range?"
Each response keeps the conversation going and gathers one more piece of qualifying information.
Script 8: Re-engaging a lead that went quiet
Give a reason to reply each time. Never send "Just checking in" on its own.
Day 3:
"Hi [Name], a quick update on [Project Name]: [new tower launch / price revision from next month / show flat now ready]. Would you like me to send the details?"
Day 7:
"Hi [Name], a few families from [their current area] have visited this week. If you are still considering a [3 BHK] in [Location], I can arrange a weekday visit when it is quieter."
Day 14:
"Hi [Name], I do not want to keep messaging if your plans have changed. Should I keep you updated on [Project Name], or have you already finalised a home?"
The last message often gets the most replies, because it gives the buyer permission to say no. A clear "no" is useful too, because your team can stop spending time on that lead.
How to personalise without slowing down
- Use one specific detail. The configuration, the location, the reason they gave for buying. One detail is enough.
- Match their language. If the buyer replies in Hindi or Kannada, reply in the same language.
- Match their pace. A buyer who said "within three months" can hear about inventory moving; an investor exploring options needs information, not pressure.
- Write notes after every call. The follow-up script only works if the next person knows what was said.
Automating the follow-up without losing the personal touch
Writing the scripts is the easy part; sending them on time, every time, is where most teams slip. A few things can be automated safely:
- The first call to every new lead, day or night.
- The WhatsApp message after an unanswered call.
- Visit reminders and the day 3, 7 and 14 re-engagement messages.
- Alerts when a lead has had no activity for 1, 3 or 7 days.
Branofy's Pre-Sale Agent calls every new lead within 10 seconds, asks your qualifying questions (including the broker check), and books site visits on your team's calendar. Follow-up Automation then sends the WhatsApp and email sequences based on lead status, score or inactivity. Your sales team takes over for the visit, the negotiation and the close. Frequently asked questions
How many times should I follow up with a real estate lead?
+
Keep following up until you get a clear yes or no. A typical sequence is a call within minutes, a WhatsApp right after any missed call, two more calls over the next day, and re-engagement messages on day 3, 7 and 14. Stop when the buyer asks you to.
Should I follow up by call or WhatsApp?
+
Both. Calls work best for qualifying and booking the visit, while WhatsApp is better for sending brochures, location pins and reminders the buyer can refer back to. Use WhatsApp to get a reply when calls go unanswered.
How do I ask whether the lead is a broker without being rude?
+
Ask neutrally during qualification: "Are you enquiring for yourself, or on behalf of a client?" Genuine buyers answer without thinking, and brokers can say so without feeling accused. Route brokers to your channel partner process instead of your buyer pipeline.
What should I say when a buyer says the price is too high?
+
Acknowledge it, then shift to value and affordability: compare carpet area and amenities, and explain the payment plan. Ask what budget they had in mind so you can suggest a configuration that fits rather than offering a discount straight away.
Can these scripts be used for portal leads from 99acres and MagicBricks?
+
Yes. For portal leads, open by naming the specific listing they enquired about, because portal buyers have often compared several properties already. The rest of the qualifying questions and follow-up timeline stay the same.
